Evendale Cultural Arts Commission Meeting

Those in Attendance: Sue Apking, Martha Carmody, Kay Divis, Susan Gordy, Pat Haslit, Donna Knopp, Mayor Don Apking, Stiney Vonderhaar Council Representative.
Mrs. Carmody called the meeting to order. Mrs. Divis asked for corrections/additions for the minutes from the April meeting. Mrs. Haslit said the number of items C. F. Payne will have in his exhibit is uncertain. The minutes will be corrected; they were accepted as corrected.
Mrs. Divis distributed the treasurer’s report.
A.OLD BUSINESS
1. Early – Late Spring 2010 programs, events
a. Director Gordy reported that two new instructors will be renting the ECAC: Lou Larson, teaching guitar, and Chris Ellison teaching drums. The commission members agreed that the music teachers will pay $200 per month for the use of the building, sending to the village a check made out to the Village of Evendale, Cultural Arts Center. Mrs. Gordy said that Mr. Ellison has contacted Trevor Payne, offering him the use of the better set of drums in the room at the South end of the building
b. Mrs. Gordy received a call from a resident Keith Schell, who would like to teach banjo. She also has a new offering for Evendale, a Ballet Camp set for June 21 – 24 which will be included on the calendar. The instructor, Mindy McGregor would like to offer ballet at the ECAC. Mrs. Gordy will contact her.
c. Mrs. Gordy will work on an attendance sheet for the instructors so each instructor will have an accurate listing of who has paid and who has not.
d. Mrs. Gordy reported the Fine Arts Fund has organized a Community Art Center Day for September 12. The Commission voted to declare September 12, Evendale Community Art Center Day. Mrs. Carmody stated there is a five hundred dollar grant available for all involved Centers, but Mayor Apking said he thinks it would be ill-advised to accept any grant money. Mrs. Gordy will be meeting with the FAF Community Art Center Day organizers. She will decline for ECAC any offered grant monies. She will send them the ECAC Logo for advertising purposes.
e. Mrs. Gordy informed the Commission that there will be a performance cost of $100 for each Playhouse in the Park play for the year 2010 and 2011. The commission members agreed to pay the fee. Playhouse in the Park will be presenting 3 plays in the area community centers and schools for the 2010-11 season.

f. Carin Hebenstrerit will be having her 3 day portrait workshop July 9- 11, 2010.
g. Mrs. Gordy has made a calendar in Outlook which can be dropped into the Google Calendar. She will check into the possible cost, the procedure, and report back at the next meeting.
h. Mrs. Divis distributed the report on the number of people who have attended classes at the center for the First Spring Session.
2. Website Training:
Mayor Apking is currently updating the website to make it more user `friendly. Mrs. Gordy will stay in contact with Lynne Thole concerning the updating of the website. Mrs. Gordy stated that she is not able to get on line at the ECAC. Mayor Apking advised her to contact the phone company and Randy for solutions.
3. Advertising:
The Mayor’s Newsletter from May did not get out to anyone. We will have to find out what happened to it. The Art Center will be having a quarter sheet of the newsletter each month that there is not an insert. It was emphasized by Mrs. Carmody that the June 2010 Newsletter will need to have the entire Summer ECAC offerings within. Mrs. Gordy will work on the publication and the subsequent advertising mediums..
4. Facility:
a. Preparing the furnace room for pottery making will require cleaning and reorganizing. Mayor Apking will set up a time with Mrs. Gordy to plan for getting the room in order and installing shelving to accommodate the pottery supplies given to the ECAC by St. Rita’s. An added space, the old coal bin, is not climate controlled. Mrs. Gordy will research a design that we can use for our facility. Mr. Vonderhaar checked with Mr. Meckley. He was told that the building does not have the electrical service to accommodate a kiln. The ECAC will need to research this.
b. Mayor Apking stated that the walkway from the recreation center to the Art Center will be done between now and August.
c. We are now using the South room for music lessons.
5. Evendale Fine Arts Exhibit 2010
Mrs. Haslit reported 11 residents placed their paintings in the 2010 EFAE . Jodi Kessler gave extra credit to her students who attended the exhibit. There were many positive comments heard about the quality of the EFAE 2010. The Recreation Department wishes to transfer the running of the EFAE 2011 to the ECAC. Mrs. Gordy will head up the directing of this exhibit.
B. NEW BUSINESS
1. Facility
a. The commission members decided to purchase a piano dolly for the grand piano from Piano Showcase and it would be paid for from the budget. Mrs. Divis will place the order.
b. Discussion ensued about the installation of an elevator in the Art Center.
It was the consensus of the Commission that the absence of an elevator created a real obstruction to the use of the building. Mr. Vonderhaar suggested that Mrs. Gordy contact Mr. Cordes in Glendale about the approximate cost for the elevator installed in the Glendale Fire House. There is also the possibility of obtaining a grant for the installation of an elevator. Mr. Vonderhaar stated a proposal will have to be written to be presented to Council.
c. To address the desire of some of the instructors to have coffee there at ECAC, Mrs. Divis will purchase a two small coffee pots for the center to have upstairs and down. Mrs. Gordy will inform an instructor that he may take his personal one home.
2 . Exhibits
a. Mrs. Haslit said the dates for C. F. Payne’s exhibit will be August 20, 21, 22. Details will come later.
b. Mrs. Apking initiated a discussion about showing Mr. Bob Griffin’s numerous and fragile items in an ECAC Exhibit. There is concern about the transporting and safe keeping of the many pieces. Mrs. Haslit said there are other display options, for example, Cincinnati Display, or John Leon who sets up exhibits for the Museum Center. Mrs. Gordy will research methods to do this sort of exhibit and will report back in June.
3. Mr. Vonderhaar said that council has asked for status of our 5 year plan written and given to the Council in 2007 by Mrs. Carmody. Mrs. Carmody stated she will report what has been accomplished by the Commission to date with input from the Commission members. Mr. Vonderhaar asked Mrs. Carmody for a revised version of the plan, extended out another five years. Mrs. Carmody will try to have it ready for September Council.
4. MISC:
Mrs. Carmody reported she will be out of town the entire month of August and Mrs. Haslit agreed to chair the August 9th meeting.
With no further business to attend to, meeting was adjourned. Next meeting, second Monday will be June 14, 2010 10:00am.
